Visionary Business Advisors LLC is committed to delivering high-quality consulting services that provide genuine value to our clients. This Refund Policy describes our policies regarding refunds, cancellations, and service adjustments for consulting engagements.
Because consulting services involve the investment of professional time, expertise, and resources that cannot be recovered once expended, our refund policy is necessarily different from policies applicable to tangible goods. We encourage all prospective clients to carefully review this policy before entering into a service agreement.
Specific refund and cancellation terms for individual engagements may be addressed in the applicable service agreement. In the event of any conflict between this Refund Policy and a specific service agreement, the terms of the service agreement shall govern.
Refund Procedures
Retainer Fees
Retainer fees paid prior to the commencement of services are generally non-refundable once the engagement has commenced and consulting work has begun. If a client cancels an engagement prior to the commencement of any consulting work, the retainer fee may be refunded in full, less any administrative costs incurred in connection with the engagement setup.
For monthly retainer arrangements, fees paid for a given month are non-refundable if services have been provided during that month. If a client cancels a monthly retainer arrangement, the cancellation will be effective at the end of the current billing period, and no refund will be provided for fees already paid for the current period.
Project-Based Fees
For project-based engagements, fees are typically structured in installments tied to project phases or milestones. Fees paid for completed project phases are non-refundable. If a client cancels a project-based engagement after work has commenced on a phase, the client will be responsible for fees proportional to the work completed on that phase at the time of cancellation.
If the Company is unable to complete a project phase due to circumstances within the Company's control, the Company will refund fees paid for that phase proportional to the work not completed.
Hourly Consulting Fees
Fees for hourly consulting services are non-refundable once the consulting time has been provided. Prepaid hourly consulting blocks that have not been used at the time of cancellation may be refunded, less any applicable administrative fees, provided that the cancellation request is received in writing within the timeframes specified below.
Cancellation Policies
Clients wishing to cancel a consulting engagement must provide written notice of cancellation to Visionary Business Advisors LLC. Cancellation notices should be sent by email to michelleallen@visionbusad.com or by certified mail to our office address.
Cancellations received with thirty (30) or more days' notice prior to the scheduled commencement of services will receive a full refund of any fees paid, less a cancellation fee of 10% of the total engagement fee to cover administrative and preparation costs.
Cancellations received with fifteen (15) to twenty-nine (29) days' notice prior to the scheduled commencement of services will receive a refund of 50% of any fees paid for services not yet commenced.
Cancellations received with fewer than fifteen (15) days' notice prior to the scheduled commencement of services are non-refundable. The client will be responsible for the full engagement fee.
Cancellations after the commencement of consulting services are subject to payment for all work completed through the date of cancellation, calculated at the applicable hourly or project rate. No refund will be provided for fees paid for completed work.
Appointment and Meeting Cancellations
Clients are requested to provide at least forty-eight (48) hours advance notice for cancellation or rescheduling of scheduled consulting meetings, interviews, or working sessions. Cancellations with less than forty-eight (48) hours notice may result in a cancellation fee equal to the time reserved for the meeting at the applicable hourly consulting rate.
The Company will make reasonable efforts to accommodate rescheduling requests and will not charge cancellation fees for cancellations due to genuine emergencies or circumstances beyond the client's control.
Service Quality and Dispute Resolution
Visionary Business Advisors LLC is committed to delivering high-quality consulting services that meet or exceed client expectations. If you are dissatisfied with any aspect of our services, we encourage you to contact us immediately to discuss your concerns.
We will make reasonable efforts to address legitimate service quality concerns, including revising deliverables, providing additional consulting time, or adjusting fees where appropriate. Our goal is to ensure that every client receives genuine value from their consulting engagement.
Refund requests based on dissatisfaction with consulting recommendations or outcomes will be evaluated on a case-by-case basis. The Company does not guarantee specific business outcomes or results, and dissatisfaction with business outcomes that are outside the Company's control does not constitute grounds for a refund.
Disputes regarding refunds or service quality that cannot be resolved through direct communication will be subject to the dispute resolution process described in our Terms and Conditions.
Refund Processing
Approved refunds will be processed within fifteen (15) business days of the approval of the refund request. Refunds will be issued using the same payment method used for the original payment, where possible. If the original payment method is not available, refunds may be issued by check.
